FAQ - Declarations

The appliance list can be consulted on theis web page. On the second page of the appliances list, you will find all information about how to use the list. The appliance lists of previous years can also be consulted on the web page mentioned above.

The appliance list including all Recupel contributions is reviewed annually and modified if necessary on 1 January or 1 July . If the Recupel contributions change, Recupel will inform its members 6 months in advance in order to give them time to make the necessary IT or accounting adjustments. The new Recupel appliance list will be officially published on the Recupel website on 1 January or 1 July (https://www.recupel.be/en/appliance-list/).

You can get your password for the declaration application by using your username. This can be done on this web page by clicking on 'For professionals' and 'Register for declaration' on the Recupel website. On this webpage, click on 'Declaration - reset password', enter your username and click 'Submit'. You will receive an e-mail with a link to create a new password.

You can retrieve your username via the web page by clicking on 'For professionals' and 'Register for declaration' on the Recupel website. On this web page click on 'Declaration - reset password', then on 'FORGOT USERNAME' and enter your e-mail address. You will receive an email with your username. Then go back to the previous web page to request a new password, enter your username and click on 'Submit'. 

A registration with Recupel can be completed on the Recupel website by clicking on 'For professionals' and 'Become a member'. On the first screen you have to specify the activity of your company, complete the general company details and address, provide contact persons’ details and accept the Entry Agreement and the Privacy Policy. On the second screen you will have to determine the product categories for which your company wishes to join Recupel. In the last step you will be asked to check all the information you have entered, and to approve, sign and send the letter confirming your affiliation to declarations@recupel.be.

 The second screen will ask you to indicate the product categories for which your company wishes to affiliate based on the 6 main categories valid from 01/01/2022. If your company started Recupel related activities prior to 2022, the website will propose you a selection within the former 10 main categories (valid until 31/12/2021) for those previous years based on your selection within the 6 new categories.  You can still uncheck  proposed product categories according to the 10 main categories if they are not applicable to your company's activity. After having approved the proposal of product categories within the 6 and 10 main categories, you still have to approve and sign the letter confirming the affiliation.

Once you are logged into the declaration application, you can enter and manage your head office, operating address or invoicing address. Click on the tab 'Member info' at the top and then choose 'Locations' in the left column on the screen. The screen that opens will display all your addresses. Click at the bottom of the screen on the button 'Add new record', change your details and click on 'Update'. The new address will be included in the overview of registered locations. Select the newly created address and click 'Submit' to register the change.

If you want to adjust the contact details of your company in the declaration application, go to the 'Member info' tab at the top of the page and click on 'Contacts' on the left side of the page. In the window that opens, you can change your existing details. You can add a new contact by clicking on 'Add new record' at the bottom left. Fill in the required information in the window and click on 'Update'. The new contact will now be included in the overview of registered contacts. Select the newly created contact and click on 'Submit' to save the changes. A new contact has been created and you will receive a username and activation link by email to create a new password. You can only create and save 1 contact per profile.

The contact person responsible for the declarations can submit a declaration. The company responsible and the contact person responsible for invoicing can only consult declarations. Recupel’s email with the attached invoice will be sent to the contact person responsible for invoicing. The person responsible for reporting is responsible for the discarded electrical and electronic appliances that your company takes back from the market.

If you are logged in, you can add a new product category by clicking the 'Member info' tab at the top of the webpage and then 'Product categories' on the left side of the screen. At the bottom of the overview click 'Add product category'. In this overview you can select and activate new product categories. For each new product category you need to enter the first date of entry at 'Active from'. This date must be equivalent to the start date of a quarter/month. Click on 'Submit' at the bottom to register the change and activate the new product categories in the declaration system.

From 01/01/2022 onwards, 2 separate lists are available on the "Product Categories" tab, i.e. an overview of the product categories valid from 01/01/2022 based on the 6 main categories and an overview of the product categories valid until 31/12/2021 based on the 10 main categories. The latter applies if your company requires retroactive declarations (see question 2.9 for more information). At the bottom of both overviews, a button 'Add product category' is available to activate new product categories by following the steps described above.

You can activate a new product category for previous years via 'Member info' and the 'Add product category' tab on the left of the screen. This is necessary when the date of the first entry precedes the start date of the current quarter. In this case, the open declarations for previous years will have the status 'to be regularized' in the overview of the declaration. The declarations to be regularized must then first be adjusted and submitted before the declaration for the last quarter can be submitted.

Only the contact person responsible for the declarations can submit a declaration. The company responsible and the contact person responsible for invoicing can only consult declarations. But you will not be able to submit declarations. Recupel’s email with the attached invoice will be sent to the contact person responsible for invoicing. The person responsible for reporting is responsible for the discarded electro-appliances that your company takes back from the market.

A pending declaration can be submitted by clicking on the green 'Submit declaration' button. You will then immediately have access to the declaration, in which various active product categories within the 6 main categories are divided into household and professional appliances. Press the blue arrows to the right of each main category to access the different subcategories.

Not sure which appliances should be declared in a certain product category? Then click on the small question mark next to the name of the subcategory and consult the examples shown. Not sure about the correct product category of an electr(on)ical appliance? Use the handy search function in the declaration system to look up your appliance. You can navigate through the different search results by using the arrows on the right side of the search bar. 

In the declaration screen you can distinguish 2 separate columns. Use the column 'Appliances brought to market' for the number of household and professional appliances that you have imported or produced and that are destined for sale on the Belgian market. 

Use the 'Returnable' column to request a refund of the Recupel contributions you already paid to your Belgian supplier or to Recupel for  electr(on)ic appliances (household and/or professional) that you subsequently sold outside Belgium. You can also use the 'Returnable' column for defective goods going abroad.

 To submit your declaration, click on the 'Submit' button at the bottom of the page. You will then receive a confirmation e-mail from Recupel saying the declaration has been submitted.

If the web page of the declaration system has not loaded correctly, you should refresh the web page by clicking on F5 on your keyboard.

The problem may also be due to your Internet browser is no longer being up-to-date. One solution is to force a ‘logout’ by entering in the search bar the following url: https://declarations.recupel.be/logout.

The Recupel contribution must be mentioned on the sales invoices and receipts as follows:

  • Household appliances:
    • Sales to distributors: mention the Recupel contribution separately and transparently for each appliance.
      Example:
Fridge RB36T602CSA 1 piecex    euro
Recupel 1.1 Refrigerators and freezers1 piece8,26 euro

 

  • Sales to private individuals or end consumers: it is sufficient to mention 'Recupel contribution included'.
    Example:

  • Professional appliances :
    • Sales to distributors: it is sufficient to mention 'Recupel contribution included'.
    • Sales to private individuals or end consumers: it is sufficient to mention 'Recupel contribution included'.

In order to get to know the activity of its members, Recupel sends a short questionnaire once a year via the declaration application.  On the basis of the answers received, Recupel can create a declaration profile for its members. You will have to fill in this questionnaire before you can submit the declaration for the last quarter.

If you wish to terminate your membership with Recupel (termination of your activity, merger, new VAT number, etc.), this must be done by letter or by sending an e-mail to declarations@recupel.be. Please clearly state the reason for the company being placed on non-active status.
